Learn how Acuity Counseling collects, uses, protects, and shares information from website visitors, inquiries, applicants, and newsletter subscribers.

1. About This Policy
Acuity Counseling, PLLC (“Acuity Counseling,” “we,” “our,” or “us”) respects your privacy. This Privacy Policy explains how we collect, use, share, and protect information through our public website and related non-clinical activities.
This policy does not govern protected health information (PHI) created or maintained as part of therapy services. Our Notice of Privacy Practices explains how we use and disclose PHI in connection with clinical care.
2. Information We Collect
Depending on how you use the website, we may collect:
- Contact and inquiry information: Your name, email address, phone number, reason for contacting us, and the general message you choose to provide.
- Newsletter information: Your email address, subscription preferences, and records of consent, delivery, and engagement.
- Employment application information: Information you choose to provide when applying to work with Acuity Counseling, such as contact information, address, employment and education history, licensure information, professional background, availability, responses to application questions, and uploaded materials such as a résumé or cover letter.
- Technical and analytics information: When you allow optional analytics, Google Analytics may receive information such as your IP address, device and browser information, pages viewed, referring page, approximate location, and interactions with selected website features.
- Information you provide directly: Any other non-clinical information you voluntarily send to us by email, telephone, fax, or another communication channel.
3. General Website Forms and Sensitive Information
Our general contact and employment forms are not intended for clinical details, medical records, diagnoses, treatment information, Social Security numbers, financial account numbers, or other highly sensitive information. Please do not include this information in a general website message or employment application unless a field specifically requests it and a secure method is provided.
Secure inquiry, scheduling, client-portal, telehealth, billing, and clinical communication tools are provided through SimplePractice. Information entered into those tools is transmitted directly to SimplePractice and is handled under the privacy and security terms that apply to that platform and to our clinical services. Acuity Counseling does not store clinical records in the public website.
4. How We Use Information
We may use website information to:
- Respond to questions and requests.
- Help prospective clients understand services and next steps.
- Process and evaluate employment applications.
- Send newsletters or other email updates when you have subscribed.
- Operate, secure, maintain, and improve the website.
- Understand general website use and measure selected website interactions when analytics is allowed.
- Comply with legal obligations, protect rights and safety, and prevent misuse.
We do not sell or rent personal information.
5. Client Portal and SimplePractice
Our website links to and may display secure tools operated by SimplePractice for appointment requests, scheduling, telehealth, billing, forms, and client communications. Although a tool may appear within or open from our website, it is technically separate from the public website. Information submitted through a SimplePractice tool is sent directly to that platform.
For more information, review the SimplePractice Privacy Policy. Once you become a client, clinical communications and records are governed by our Notice of Privacy Practices and applicable law.
6. Newsletter and Email Communications
If you subscribe, we may send newsletters, practice updates, and educational or promotional emails. Subscription is voluntary and is not required to receive services. You may unsubscribe at any time using the link in an email or by contacting us. We do not include clinical information in newsletter emails.
We do not currently use the public website to enroll visitors in SMS marketing. Appointment reminders or other service-related text messages may be handled separately through our clinical systems and are not newsletter marketing.
7. Cookies and Optional Analytics
We use Google Analytics only when you choose Allow analytics in our website privacy controls. Google Analytics helps us understand general website traffic and selected interactions so we can improve the website and evaluate whether our outreach is useful.
Our analytics configuration does not send information entered into website forms, secure inquiry forms, scheduling tools, or the client portal. Advertising storage, ad personalization, and Google Signals are disabled. URL query parameters are removed before a page location is reported. We do not currently use Meta Pixel.
If you decline analytics, the Google Analytics tag is not loaded. You may change your choice at any time through Privacy choices in the website footer. We also honor an enabled Global Privacy Control signal by keeping analytics disabled.
Google may process analytics information under its own terms and policies. Learn more in Google’s information for sites that use its services.
8. When We Share Information
We may share information only as reasonably necessary with:
- Service providers that support website hosting, security, email delivery, analytics, communications, secure forms, or employment application processing.
- Professional advisers when necessary for legal, accounting, insurance, or compliance purposes.
- Government authorities or other parties when required by law or reasonably necessary to protect rights, safety, and security.
- A successor organization as part of a merger, acquisition, reorganization, or transfer of business assets, subject to applicable law.
We do not share newsletter subscription information with unaffiliated parties for their own marketing.
9. Data Retention
We retain personal information only for as long as reasonably necessary for the purpose for which it was collected, including responding to inquiries, evaluating applications, maintaining subscription and consent records, meeting legal or regulatory obligations, resolving disputes, and protecting our rights. Retention periods vary based on the type of information and the systems involved.
Clinical records are retained separately under our clinical record-retention obligations and are not governed by this website Privacy Policy.
10. Data Security
We use reasonable administrative, technical, and physical safeguards designed to protect information handled through the website. No website, transmission method, or storage system can be guaranteed completely secure. If a security incident requires notification, we will provide notice as required by applicable law.
11. Your Choices and Privacy Rights
You may:
- Decline or change optional analytics through Privacy choices in the website footer.
- Unsubscribe from newsletters using the link in an email.
- Ask to access, correct, or delete personal information we maintain about you, subject to applicable law and permitted exceptions.
- Ask questions about our privacy practices or submit a privacy concern.
Depending on where you live and which privacy laws apply, you may have additional rights concerning your personal information. We may need to verify your identity before completing a request. We will not discriminate against you for exercising an applicable privacy right.
12. Children’s Privacy
Our public website is not directed to children under 13, and we do not knowingly collect personal information directly from children under 13 through general website forms. A parent or legal guardian should assist a minor with any non-clinical website inquiry. Privacy practices for a minor receiving clinical care are addressed in our Notice of Privacy Practices and applicable consent documents.
13. Third-Party Websites
Our website may link to services and websites we do not control. Their privacy practices are governed by their own policies. We encourage you to review those policies before providing information.
The employment application may use Google Maps Platform Places Autocomplete to suggest and complete an address as you type. Google receives the address characters entered into that feature and processes them under the Google Maps Platform Terms and Google Privacy Policy. The selected address becomes part of the employment application you submit to Acuity Counseling.
14. Changes to This Policy
We may update this Privacy Policy to reflect changes in our website, services, vendors, or legal obligations. We will post the revised policy on this page and update the effective date. Material changes will be communicated when required by law.
